After you launch your store, and receive orders, managing them in the WooCommerce orders section will be a common place you visit. There are a variety of order statuses that will take place after a customer completes the checkout process. First, let's review the order statuses, which will indicate where the customer's purchase is in the order process.
Order statuses
- Pending payment - Order received, no payment initiated. Awaiting payment (unpaid).
- Failed - Payment failed or was declined (unpaid) or requires authentication (SCA). Note: This status may not show immediately and instead show as Pending until verified (e.g., PayPal).
- Processing - Payment received (paid) - stock has been reduced; order is awaiting fulfillment. Note: All products require processing, except those that are only virtual or downloadable.
- Completed - Order fulfilled and complete – requires no further action.
- On hold - Awaiting payment – stock is reduced, but you need to confirm payment.
- Canceled - Canceled by an admin or the customer – stock is increased, and no further action is required. Note: This status does not refund the customer.
- Refunded - Refunded by an admin – no further action required.
- Authentication required - Awaiting action by the customer to authenticate the transaction and/or complete SCA requirements.
- Draft - An order created by Admin manually.
- Checkout draft - Draft order created when customers start the checkout process with WooCommerce Blocks checkout block enabled.

View orders
- Sign in to your WordPress dashboard.
- Click Orders in the WooCommerce menu.
- Orders are listed to view. Note: To show all available columns, click the Screen Options tab at the top-right. To process several orders at once, click the Bulk actions dropdown.

Preview an order
- Sign in to your WordPress dashboard.
- Click Orders in the WooCommerce menu.
- Click the Eye icon.
- A dialog will open to the order. Note: You can also process an order, mark it as completed, place it on hold, or edit it.
Add an order
- Sign in to your WordPress dashboard.
- Click Orders in the WooCommerce menu.
- Click the Add order button. Note: You can also manually add an order from the order edit view - see the following section.
- Add the order details such as Billing, Shipping, and Status. Note: If the customer has ordered before, select the name from the Customer dropdown.
- Click the Add item(s) button. Note: If applicable, click the Apply Coupon button to add a coupon code to the order.
- Add Product(s), Fee, Shipping, and Tax. and click the Save button. Note: If applicable, add Order notes.
- Click the Create button.
- Click the dropdown in Order actions to send the customer an email with the order payment information.
Edit an order
- Sign in to your WordPress dashboard.
- Click Orders in the WooCommerce menu.
- Click either the Order number, Date, Status, or Billing link to edit an order, or click the Add order button to manually add a new order. Note: You can also quickly process an order by selecting one of the icons in the Actions column.

- The details view opens to edit the order. From this view, you can do the following:

- View/edit the order status
- View/edit the billing address
- View/edit the shipping address
- Update/Save the order or Move to Trash
- Update the order actions
- Resend new order notification
- Email order details to the customer
- Regenerate download permissions
- View/delete order notes
- View item(s) ordered - Note: The order can be refunded, but order items cannot be edited unless the order status is “Pending payment,” or “On hold.”
- View shipping
- View order charges (Subtotal, Shipping, Tax, Total)
- Add items to order
- Apply a coupon
- Refund the order
- Recalculate the order charges
- Click the Update button to save changes.
Note: The order edit view may vary depending on the WooCommerce features and settings enabled and extensions/plugins that are installed.
